ISO 9001 : Release Of Products And Services

This 101 is looking into Section 8.6 Release of Products and Services. Why is this important to my business? Well, when a product or service is delivered to a customer, you want them to be satisfied with it. Clause 8.6 is all about helping to make sure that happens.

When a product or service is being delivered you need to make sure that the person doing the releasing is suitably qualified as per your company needs. There is little point a finance admin person signing off the technical part of an engineering project for instance.

"The release of the product or service is also required to be traceable!"

For instance, your warehouse manager can sign the delivery driver’s documentation, or your finance person can sign of purchasing requests. If you are in retail, then you can put procedures in place to ensure that customers can only order what is in stock and can only be accepted as an order when fully paid for – thus automating the release of products or services to them.

Sometimes, you may not be able to meet the customer requirements and therefore need to get approval for a concession or check that the tolerances you are meant to have stayed within have been met. This is fine as long as paperwork is kept that proves this has been authorised and is accepted by the customer.

How do I manage this? Keeping the documentation is key, whether that be electronic or physical paper. The proof is required from a customer services point of view and compliance to ISO9001.

There are a variety of ways you can manage this. Personally, I use Teamwork . This has a task list that indicates when a client has approved a document I have created for them. They can also see through the project management tool exactly what has or hasn’t been delivered and why. This is due to comments and messages being kept in one place whilst being linked to the document and the tasks.

Many of the companies I have worked with have found it useful to have an independent person to work with them to help facilitate the creation of a risk register and business continuity plan.
